Elections in Inner Wheel
General Rules for Eligibility of Member to Vote in Election
- She must have paid her dues fully.
- Her club has paid its dues fully.
- She is an active member I honoured active member
General Rules for Valid Nominations of Candidates
- Nominated Candidate fulfills eligibility to apply for elected posts as per llW Constitution and Handbook and Association Bye-laws rules like
- Must have paid her Inner Wheel Dues
- The club to which she belongs must have paid
- Must be an active member or honoured active member.
- Nomination Form is sent as per instructions relating to
- Filling up of nomination form-post applied for, Biodata, photo, signatures,
- Documents to be accompanied with the nomination form-relevant minutes (minutes in which the resolution regarding her nomination was passed, consent letter,
- Mode of sending nomination form – in official envelope by ordinary post, speed post, courier etc.
1) ELECTIONS AT CLUB LEVEL:
The Elections take place for Executive Committee (other than for IPP which a President after her tenure automatically becomes) by Secret Ballot.
Steps for Elections:
- Secretary take soutthe Election Notice one month in advance (around mid-November) of the Electio Meeting asking for proposals for different posts at club level.
- Proposalsaresentinwritingdulyproposedandsecondedbyclubmembersalongwithconsentletterofthememberproposedtotakeuptheparticularpostto
- Secretary receives the proposals for various posts.
- Secretary sends notice of Election Meeting (held in one of the General Body Meeting) which is to held preferably in December is to be circulated The notice of the election meeting should be specified as Election Meeting.
Note: Election should be completed before 31st December and lasted by 31st January to enable the new office bearers prepare well in advance of 6 months for the ir year and to enable flow of information regarding in coming office bearers upto International level.
- In the Election Meeting the proposals received are readout and if no objection is raised one ligibility of the candidate, then the proposed members are duly In case proposal ofmorethan1memberforthesamepost’sisreceivedthenelectionstakeplacethroughsecretballot.Eachactivemember (including Honoured Active) has 1 vote and in case votes are equal then President has a casting vote. In case no proposal for a particular post’s is received then election on floor too takes place for the particular post’s.

DISTRICT LEVEL:
District elections are held during the District Conference.
Number & Eligibility of Club’s Voting Delegates
- Clubs with 50 Active members: 2- Voting Delegates Club President & Club
- Clubs with more than 50 Active members-3 Voting Delegates Club President, Club Secretary & One member deputed from the
- Clubs with more than 100+ Active members -4 Voting Delegates Club President, Club Secretary & Two members deputed from the Executive Committee
Delegate must belong to the Club Executive Committee and served as an Officer on the Executive committee at the time of taking office.
In case the Club’s Voting
Delegates are not able to attend the District Committee, the Club can appoint Deputy VD and such authorization should be on Club Letterhead only, duely signed by President and Secretary.
The voting Delegate cannot cast more than one vote. The mark ‘X’ should always be put against the name of your choice, any other mark will make your vote invalid.
There should not be more than two Members of the same Club inthe District Executive Committee.
ASSOCIATION LEVEL:
These elections are always held by Postal Ballot. The club President receives the Ballot Paper with the Ballot Envelope from the Association Secretary in the month of November.
These elections are usually held for the post of Association Vice President. The Club decides at the Club GB Meeting and marks their choice with mark ‘X’. The ballot paper in the given envelope should be posted with name of the Club and District number 317. No other letter or paper should be put in this envelope, which will make your vote invalid.
All the voting papers from the Association must be promptly attended to and mailed back. In case of any difficulty contact the District Chairman Immediately.
INTERNATIONAL LEVEL:
These elections are also held by Postal Ballot. The Club Secretary receives the Ballot Paper with
the Ballot Envelops from llW Secretary in the month of December. If you don’t get the same by 25th December inform the District Chairman immediately.
These elections are usually held for the post of Board Director, llW Vice President, llW Treasurer and llW Editor
Board Director: For this post you should choose 16 candidates and mark ‘X’ against their names. Anything more than 16 marks will make the vote Invalid.
llW Vice President, Treasurer and Editor: For this post mark only one ‘X’ against the name of your choice. Remember in llW elections, the Surname is put first and then the name.
So go through the bio-data given along with the ballot paper to know about her fullname, Country etc. and then cast your vote.
At the Club G.B. Meeting, the club decides their choice and casts their vote with mark’ X’. Write the name of the Club, District Number 317, seal it,write Air Mail on it and post it with International postage. No other letter or paper should be put in this envelope which will make your vote invalid.
The ballot paper should be posted at the earliest without waiting for the last date.

Instructions for voting
Please read the following instructions before exercising your vote:
- Put only a X against your choice
- Tick or any other mark will invalidate the ballot
- Put the ballot paper only in the Ballot envelop provided
- Do not sign or Write anything else other than a X against your choice on the Ballot paper
- It is essential to put your Club Name as given in your Charter, and your Inner Wheel District Number on the Ballot Envelope. No short forms of names of clubs will be accepted. Please note that if this is not complied with, the vote will be declared invalid.
- You must write the name and address of the Club President or Secretary in the space provided (FROM) at the back of the ballot envelope or the vote will be declared invalid
- Election is by postal ballot only.
- Original or Duplicate ballots will be posted to the Club Presidents only
- Please check that the back of the Ballot Paper carries the signature of the Association President, Association Vice President & Immediate Past Association
- The flap of the Ballot Envelope, after closing, is Ballots without the club seal will be declared invalid.
- The ballot paper should be kept in side the self-addressed ballot envelops (with the name & address of the Association Secretary) and sent by ordinary post / Registered Post Acknowledgment due / Speed Post or We prefer that sent by speed post.
- Once a request is made for a Duplicate Ballot, the Original Ballot received will be considered invalid if both Original & Duplicate ballots from the clubs are received, both will be considered invalid.
- Ballotsreceivedafter5.00pmonlastdatewillbedeclaredInvalid.Kindlyallowenoughtime for postal transit & delay.
- Ballot envelops will be opened on 10-02-2021 and the votes will be counted in the presence of a Registered Charter Accountant, appointed for this purpose.
- Results of the Election will be intimated to all the Association EC & AC Members, District Chairman as well as Candidates
- Once the nominations are scrutinized and found valid at the 2nd Association Executive Meeting, the candidate will not be allowed to
- Make Phone calls to voting delegates and District
- Write Letters
- SMS
- Present Gifts
- Social network (FaceBook)
- Friends & members of other District or another District cannot call anyone, asking for votes
